Absolv Ltd (company number 17192000) cares about your data. This page explains what we collect, why, and what you can do about it. Plain English. UK GDPR and the Privacy and Electronic Communications Regulations (PECR) apply.
Who we are
Absolv Ltd, a private limited company registered in England and Wales (company number 17192000), with registered office at 66 Paul Street, London, England, EC2A 4NA, United Kingdom. We trade as Absolv.

What we collect, and when
When you visit absolv.ai
- Anonymous analytics via Vercel Analytics and PostHog (EU region). We see aggregate stats: pages visited, country, referrer, device class, broad performance metrics. We do not set tracking cookies. PostHog uses your browser localStorage to maintain a session identifier; this never leaves your device unless you submit a form.
- Server logs via our hosting provider Vercel. Includes your IP address and the request URL, retained briefly for security and abuse prevention.
When you book a call
- Through Calendly: your name, email, scheduled time, and any answers you give to the booking questions. Calendly is the data controller for that step. See Calendly's privacy notice.
- Through our inbox: anything you email us. Stored in Google Workspace.
When you become a client
- Identification data for anti-money-laundering checks: name, date of birth, address, photo ID, proof of address. Required by the Money Laundering Regulations 2017.
- Business and financial data needed to do the accounting work: company details, bank transactions, invoices, payroll data, HMRC references, accountant handover documents.
- Communications via WhatsApp, email, and call notes. Retained as a record of advice.
Why we use it
- Deliver our services (legal basis: contract). Books, VAT, year-end, correspondence with HMRC and Companies House.
- Comply with our legal duties (legal basis: legal obligation). Anti-money-laundering checks, tax records, audit trails. ICAEW and HMRC both require retention.
- Run the website and improve it (legal basis: legitimate interest). Aggregate analytics, error tracking, performance monitoring.
- Respond to enquiries (legal basis: legitimate interest). When you email us or book a call.
We do not sell your data. We do not run advertising on absolv.ai and we do not share with advertisers.
Who we share it with
Only the third parties we genuinely need to run the firm. Each has its own data-protection commitments:
- Vercel (website hosting, analytics).
- PostHog (analytics, EU region).
- Google (Workspace email and Search Console).
- Calendly (call booking).
- Xero (accounting software, used for client work).
- HMRC and Companies House (statutory filings on a client's behalf, with their authority).
- Beehiiv (newsletter, if you have subscribed).
- Our insurers and the ICAEW (regulators), where required.
We do not transfer personal data outside the UK or the EEA unless the destination has UK adequacy or we have other safeguards in place (Standard Contractual Clauses or similar).
How long we keep it
- Client records: 6 years after the end of the engagement, in line with the Companies Act and HMRC retention rules.
- Anti-money-laundering records: 5 years after the end of the relationship, as required by the Money Laundering Regulations 2017.
- Website analytics: 12 months for individual session data, indefinitely for fully aggregated stats.
- Marketing enquiries that do not become clients: 24 months, then deleted.
Your rights
Under UK GDPR you can ask us to:
- Confirm what data we hold about you, and give you a copy.
- Correct anything that is wrong or out of date.
- Delete your data, where we are not legally required to keep it.
- Restrict how we use it.
- Take a copy of your data to another provider (portability).
- Object to a particular use of your data.
Email admin@absolv.ai to use any of these rights. If you are not happy with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
We do not use tracking cookies. Vercel sets a strictly-necessary cookie to load the right region of our infrastructure. PostHog stores a session identifier in your browser's localStorage. Neither is shared with advertisers. You can clear localStorage at any time from your browser settings.
Children
Our services are for businesses. We do not knowingly process children's data.
Changes to this policy
If we change anything material, we will update the "Last updated" date at the top of this page and notify clients by email.
